🏫 Introduction
The Bishop's Education Society ("School", "we", "our") operates the TBES Education mobile application (the "App") available on Google Play Store and Apple App Store.
This Privacy Policy explains what information we collect, how we use it, and the choices you have. By using the App, you agree to the practices described in this policy.
🔒 Our Commitment: We do not sell, rent, or trade your personal data to any third party. Your data is used exclusively to provide school-related services.
🔐 Device Permissions
The App requests the following device permissions. Each is clearly explained and requested only when needed for the feature to work.

Calendar Access – Add & Delete Events

The App can sync TBES school events (assemblies, exams, holidays, sports days, concerts, parent meetings) directly to your device's default calendar. You have full control:
➕ Add Events: Tap the ⟳ Sync button in the Event Calendar screen to add all upcoming TBES events to your device calendar.
🗑 Delete Events: Tap the 🗑 Delete button in the Event Calendar screen to remove all TBES-synced events from your device calendar at any time.
🔄 Auto-Update: If a TBES event is rescheduled, the app updates the existing calendar entry — it does not create duplicates.
We only manage TBES events. We do not read, modify, or delete any of your personal calendar events or data from other apps.

Used to capture photos for guardian registration, student photographs, leave applications, and signature upload for Council Registration. Photos are securely transmitted to the school server and are not stored locally beyond the upload session.

Used to select and upload photos from your gallery for guardian registration, leave attachments, and digital signatures. On iOS, limited photo access is used where possible. On Android, READ_MEDIA_IMAGES permission is requested.

Used by staff to verify attendance at the correct school location. Also used to display transport pickup/drop points. Location is used in real-time only and is not stored or shared with any third party.

Used to send school announcements, fee reminders, event alerts, assignment notifications, and emergency communications. You can manage notification preferences in device Settings at any time. On Android 13+, POST_NOTIFICATIONS permission is requested.

Device Identifier

A device-specific identifier (iOS Vendor ID or Android ID) is used to authenticate your session securely and enable the Forgot Password flow. This is not your phone's IMEI. It is never shared with third parties.

📅 iOS – Calendar Permission Detail:
On iOS 17+, the App requests NSCalendarsFullAccessUsageDescription. On earlier iOS versions, standard calendar access is used. The system permission dialog appears the first time you tap Sync. If you deny permission, you can re-enable it via Settings → Privacy & Security → Calendars → TBES.
🤖 Android – Calendar Permission Detail:
On Android, the App requests READ_CALENDAR and WRITE_CALENDAR permissions using the standard Android runtime dialog. If denied, calendar sync will be unavailable but all other App features work normally. You can grant permission later via Settings → Apps → TBES → Permissions → Calendar.

Permissions marked Optional will be requested only when you use that specific feature. You can deny them without affecting core app functionality.
📋 Information We Collect
- Account: Student code, date of birth, parent/guardian name, email, mobile number, login credentials.
- Academic: Attendance, assignments, worksheets, timetables, exam results, fee records, digital diary entries.
- Health: Height, weight, mother tongue — for school administrative records only.
- Transport: Route and pickup/drop point preferences.
- Calendar: TBES school events added to your device calendar (only when you grant permission).
- Photographs: Student and guardian photos used for identification within the App.
- Signatures: Digital/uploaded signatures for Council Registration.
- Device: Device identifier for secure session management.
⚙️ How We Use Your Information
- Provide access to academic records, fees, attendance, and school services.
- Add TBES school events to your device calendar and allow you to delete them — when permission is granted.
- Send push notifications for school announcements and reminders.
- Authenticate and secure your account using device identifiers.
- Process transportation, health, consent, and council registration requests.
- Enable staff to verify attendance at school locations.
🤝 Data Sharing
We do not sell, rent, or trade your personal data. Data is shared only:
- With school administrators and authorised staff for academic and administrative purposes.
- With government authorities (UDISE+, APAAR) as required by education regulations.
- With secure hosting providers under strict confidentiality agreements.
🔒 Data Security
All data transmissions use HTTPS/TLS encryption. Passwords are never stored in plain text. Session tokens are device-bound and expire automatically. Access to school data is role-based and strictly controlled.
👶 Children's Privacy
The App serves students including minors, under parental/guardian supervision. Student data is collected solely for educational and administrative purposes. Parents and guardians may contact us to access, correct, or request deletion of their child's data.
✅ Your Rights & Controls
- Calendar Events: Add events via ⟳ Sync button. Delete all TBES events via 🗑 Delete button — both in the Event Calendar screen.
- Revoke Calendar (iOS): Settings → Privacy & Security → Calendars → TBES → Off.
- Revoke Calendar (Android): Settings → Apps → TBES → Permissions → Calendar → Deny.
- Camera/Photos: Revoke via device Settings → Privacy → Camera / Photos.
- Notifications: Settings → Notifications → TBES → Off.
- Data Access/Deletion: Contact the school administration.
📝 Policy Updates
We may update this Privacy Policy from time to time. Significant changes will be communicated via in-app notifications. The "Last Updated" date at the top reflects the most recent revision. Continued use of the App after changes constitutes acceptance of the updated Policy.
