Privacy Policy

The Bishop's Education Society ("we", "our", or "the School") operates the TBES Education mobile application for iOS and Android. This Privacy Policy explains what information we collect, why we collect it, and how we protect it.

By using the TBES Education app, you agree to the practices described in this policy. We do not sell, rent, or trade your personal information to any third party. All data is used solely to provide school-related services.

We request the following device permissions. Optional permissions are requested only when you first use that feature and can be revoked at any time from your device settings.

• Account details: Name, username, user code, role (student/parent/staff), profile photograph, and contact information.
• Academic records: Attendance, timetable, assignments, worksheets, exam schedules, weekly reports, and progress reports.
• Fee records: Bill details, online and offline payment history, e-wallet transactions.
• Health details: Height, weight, and mother tongue (for school records).
• Transport data: Route preferences, pickup/drop-off points, and transport application details.
• Calendar entries: TBES events synced to your device calendar (only with your permission).
• Photographs & signatures: Uploaded for registration, leave applications, and consent forms.
• Device identifier: For secure session management and password recovery.
• Internal messages (Staff only): New Sender and recipient details, message subject, body content, attachment metadata, timestamps, read/unread status, folder assignment, and reply/forward threading information. This data relates to school-internal communications only.

• Providing access to academic, fee, and health records.
• Syncing TBES events to your device calendar.
• Sending push notifications for announcements, reminders, and emergencies.
• Authenticating accounts and managing secure login sessions.
• Processing transport, health, consent, and council-related requests.
• Verifying staff attendance using location data.
• Facilitating guardian registration and student photograph uploads.
• Processing leave applications and signatures.
• Delivering and managing internal staff messages within the school network — including inbox, sent, drafts, starred, and archived folders. New
• Notifying staff of new incoming internal messages via push notifications.

We do not sell, rent, or trade your personal data. Data is shared only in the following limited circumstances:

• Authorized school staff: Access is role-based and limited to what is necessary for each staff member's function.
• Government education bodies: Data required by UDISE+, APAAR, or other regulatory bodies is shared as mandated by education law.
• Hosting & infrastructure providers: Data is stored on secure servers under confidentiality agreements; providers cannot use the data for their own purposes.

• All data in transit is encrypted using HTTPS / TLS.
• Passwords are never stored in plain text.
• Session tokens are device-bound and expire automatically.
• Access to data is controlled by role-based permissions.
• Internal message data is accessible only to the sender, intended recipient(s), and authorized school administrators.

The TBES Education app is designed for use by students, parents, and school staff within the supervised school environment. Student data is collected solely for educational and administrative purposes.

Parents and guardians may request access to, correction of, or deletion of their child's data by contacting school administration at info@thebishopsschool.org.

• Sync and delete TBES calendar events directly from the app.
• Revoke calendar, camera, photo library, or notification access at any time from your device Settings.
• Contact school administration to request access to, correction of, or deletion of your personal data.
• Staff users may compose, reply, forward, star, archive, and delete internal messages within the app. New Message data can be requested for deletion by contacting info@thebishopsschool.org.
• Disabling push notifications in device settings will stop new message alerts but will not affect your ability to access messages within the app.

We may update this Privacy Policy from time to time. Significant changes will be announced within the TBES Education app. Continued use of the app after such notification constitutes acceptance of the updated policy.
